Make Individual Membership Renewals Easier
Your members want to renew their membership, they shouldn't need instructions from your staff to do it.
Members Village gives members a simple way to renew and pay online, while automating the work that happens after the payment.
For anniversary-based memberships using supported automatic renewals, the process can require no action at all from either the member or your administrator.
The membership comes due. The payment is processed. The receipt is issued. The member is notified. Their expiry date is updated.
Your team doesn't have to process the renewal manually.

Does Membership Renewal Still Create Work for Your Team?
A membership renewal sounds like a simple transaction. In practice, it can turn into a chain of administrative tasks.
- Your team identifies the members who are due to renew.
- Someone sends reminders.
- Members need instructions for accessing their account.
- Payments have to be processed.
- Receipts need to be issued.
- Membership records need new expiry dates.
And staff still have to deal with the people who haven't completed the process and chase payment.
Multiply that by hundreds or thousands of members and renewal administration can consume a significant amount of staff time every year. The goal isn't simply to put the renewal form online.
The goal is to remove your staff from as much of the renewal process as possible.
What An Easier Anniversary Membership Renewal Looks Like.
For the member, renewing should be straightforward. For your association, a renewal shouldn't create another administrative task.
With Members Village, the renewal workflow can connect the membership record, payment and member communication in one process.
For an anniversary membership with automatic renewal:
1. member saves their Credit Card
The member can securely save their credit card for future membership payments.
The credit card details are stored with the payment gateway with full PCI compliance. Members Village does not store the member's credit card details.
2. Their Membership renewal arrives
If the association is using supported Stripe automatic renewals, Members Village processes the membership payment using the member's saved payment method.
The member doesn't have to remember to log in and your administrator doesn't have to process the renewal.
3. A receipt is issued & member is notified
The completed payment generates the member's receipt.
The member is informed that their membership has been renewed.
4. membership record is updated
Members Village records the new membership expiry date automatically.
Done.
The member now has member rights to optional discounts for other opportunities which generate revenue for your association.
Members Can Renew Themselves Too
Automatic renewal isn't the only way to save your staff time. Members can log into their secure Member Portal and complete their own membership renewal.
They can review and update their details, renew their membership and pay without needing help to complete the transaction. If their payment method has already been saved, paying for the renewal can be reduced to a single click.
That means your team can spend less time processing routine membership transactions and more time on work that adds value.
What About Calendar-Year Memberships?
Calendar-based memberships work differently from anniversary memberships.
Members can log into their Member Portal when it is time to renew. If the member already has a saved payment method, they can process the renewal payment with one click and receive their receipt.
The member still completes the process themselves, without needing assistance from your staff.
Anniversary membership
With a saved credit card, everything happens automatically:
Renewal date → payment → receipt → notification → new expiry date
Without a saved credit card, the member logs in and selects:
Renew → pay → receipt → new expiry date
Calendar membership
The member logs in and selects:
Renew → pay → receive receipt
If their card is already saved, payment can be completed in one click.
Saved Credit Cards With Full PCI Compliance
Giving members the option to save a card can make future renewals, and other payments, much easier.
But that does not mean Members Village stores your members' credit card numbers.
For supported saved-payment workflows, the sensitive credit card information is stored with the payment gateway rather than inside Members Village, ensuring you maintain PCI compliance.
For automatic anniversary renewals, the currently supported automatic-renewal gateway is Stripe.

What Changes for Your Members and Your Staff?
| Your members | Your association |
|---|---|
| Renew online | Less manual renewal processing |
| Save a payment method | Less payment handling |
| Receive their receipt | Less receipt administration |
| Keep their membership current | Membership records update as part of the process |
| Handle routine renewals themselves | Fewer routine requests for staff |
| Automatic anniversary renewal when eligible | Zero administrator action for successful automatic renewals |
The difference is not simply that the Members Village association software accepts membership payments online.
The payment is connected to the membership process around it.
That is what removes administrative work.
More Than 90% of Renewing Members Complete the Process Themselves
Across Members Village clients, more than 90% of members complete the renewal and payment process through self-service.
That means the normal renewal process does not depend on association staff completing each transaction for the member.
Automatic anniversary renewals can take that a step further by removing the need for the member to manually renew.

Membership Renewals Are Connected to the Rest of the Member Record
Renewals shouldn't happen in an isolated payment system. Members Village connects membership management, member self-service and payments so that the renewal becomes part of the member's ongoing record.
Member Management
Manage membership types, renewal cycles, member and organization records, membership history and the rules surrounding how your memberships work.
Member Portal
Give members a secure place to renew, manage their information and access their account without depending on your staff for routine service.
Credit-Card Payments
Connect membership payments to your merchant account without Members Village adding its own percentage-based processing fee on top of your payment gateway's fees.
Common Questions About Membership Renewals
Have questions about membership renewal software, automatic renewals, saved payment methods or self-service renewal?
Here are answers to common questions about how Members Village helps Canadian associations make individual membership renewals easier for members and staff.
For a successful automatic anniversary renewal, the payment is processed, the member receives their receipt and notification, and their membership record receives its new expiry date.
No manual administrator action is required to complete that successful renewal.
Yes.
Self-service renewal is designed so members can complete routine membership renewals themselves through their Member Portal.
Not currently.
Calendar-year members can log into the Member Portal and select Renew themselves.
If they already have a saved payment method, the payment can be completed in one click.
Automatic anniversary renewals using a saved payment method are currently supported through Stripe.
Members Village supports additional payment gateways for membership payments, but the automatic saved-card renewal workflow described on this page should not be assumed to be available through every gateway.
No.
The credit card details are stored with the payment gateway, not Members Village.
Members Village can use the saved-payment relationship to support future transactions without storing the underlying credit card details itself.
Yes, for eligible anniversary-based memberships using the currently supported Stripe automatic-renewal workflow.
The member must have a saved payment method available. When their renewal comes due, Members Village can process the payment, issue the receipt, notify the member and update the membership expiry date.
